Reporting to the Office Manager, the Receptionist/Travel Coordinator plays a pivotal role in the Alamos Gold corporate office whether that is to our guests, global management teams, executives, vendors or stakeholders. Your enthusiasm in delivering exceptional customer service and your keen interest in contributing to the team will aid in your success.


Primary Responsibilities:


Reception and Office Support:

  • Act as initial point of contact with public, greet, assist and direct visitors and represent Alamos in a friendly, high energy and professional manner;
  • Answer all incoming calls, screen and re-direct calls as appropriate and take accurate messages. Provide information to callers as appropriate;
  • Manage bookings of all shared meeting rooms within the office to minimize scheduling conflicts and arranging catering, room set-up/tear down as required;
  • Monitor and maintain appropriate levels of office and kitchen supplies;
  • Responsible for daily opening and closing duties (as outlined in the manual);
  • Reconcile monthly expenses for executives in an accurate and timely manner;
  • Responsible for coordinating all recurring charges for general office purchases, such as supplies, groceries, subscriptions, flowers etc.;
  • Responsible for internal mail delivery, postage meter, and courier arrangements;
  • Monitor Reception email account and respond as needed (faxes, general questions/requests, meeting room requests);
  • Provide general administrative support, as requested; and
  • Other projects and duties, as assigned.


Travel Arrangements

  • Key point of contact for all travel arrangements, accommodation and related logistics for officers, directors, corporate staff, and office visitors as needed;
  • Ensuring all travel is booked in a professional, timely and cost effective manner adhering to the Travel and Expense Policy;
  • Send invoices and e-tickets travelers, ensuring information is accurately recorded in both their and Reception’s calendar;
  • Review monthly credit tracker;
  • Other travel related duties, as assigned.


Event Planning:

  • Assist with the planning and execution of all Company social events including, but not limited to the corporate employee and children’s holiday parties, summer social;
  • ensure events are planned and executed within budget; and
  • Other related duties as assigned.


Skills, Knowledge, Qualifications and Experience:


  • Post-secondary education in Business Administration or commensurate program;
  • Minimum two (2) years of office experience as a Receptionist preferred
  • Advanced level of proficiency with Microsoft Office (Excel, Word and PowerPoint);
  • Demonstrates initiative and decisiveness;
  • Detailed oriented, including ability to self-review;
  • Proven ability to effectively prioritize multiple deadlines;
  • Excellent interpersonal, written and oral communication skills in English;
  • Ability to exercise good judgment, show initiative, and be proactive;
  • High standards of ethics and confidentiality to handle sensitive information;
  • Excellent organizational skills;
  • Professional personal presentation and demonstrated reliability;
  • Proven ability to work independently and exercise sound decision making; and
  • Spanish and/or Turkish language skills would be considered an asset.
